Information about the organisation of international delegations
When requesting a visit with a delegation, please bear in mind the following information:
Contact
Contact should be made directly by the institution or administrative department sending the delegation. Alternatively, it should be made via the relevant embassy or consulate. Only in exceptional cases can requests from travel or private agencies be considered.
The Unit for EU and International Affairs is available as the central contact point for visits by delegations to the Senate Department for Urban Mobility, Transport, Climate Action and the Environment.

Lead time and essential information
To ensure that suitable contact persons within the Senate Department for Urban Mobility, Transport, Climate Action and the Environment can be found, please submit your request at least four weeks before the planned visit of your delegation.
Please provide precise information regarding the composition of your delegation (list of names and description of function), the planned period of the delegation’s visit and the topics the delegation is interested in. The more precise your information is, the more effectively your programme can be designed to correspond to your wishes.
Organisational matters and cost
The visiting delegation is responsible for organisational aspects of the programme (e.g. transfers, interpreters etc.). The delegation bears the costs for these things.
